Welcome! This page is here to help you navigate the clinical onboarding process using , the platform we use to manage credentialing, compliance, and rotation requirements for medical students. We know that preparing for clinical training can feel like a big step, and it’s completely normal to have questions along the way. Our goal is to provide clear guidance, helpful tools, and friendly support so you always know what to do, when to do it, and who to reach out to if you need help.

On this page, you’ll find everything you need to get started, including checklists, timelines, instructions, and contacts. Take your time, explore the sections below, and keep this page bookmarked — it will be a helpful resource throughout your clinical journey. If at any point something feels confusing or unclear, please reach out. We are here to support you and want your onboarding experience to feel smooth, confident, and well-guided.

Getting Started

ACEMAPP is the online system we use to manage your clinical onboarding, compliance, and rotation details. You’ll use it to complete required items, upload documents, and confirm that you’re ready to be approved for clinical sites.

In ACEMAPP, you can expect to:

  • See which requirements you still need to complete

  • Upload documentation (for example, immunizations or training certificates)

  • Review your assigned rotations once they are entered

  • Receive messages or updates related to your clinical onboarding

If you’re new to ACEMAPP, don’t worry—most students are! Think of this page as your companion guide. We’ll walk you through what to do, step by step.

Credentialing Requirements & Checklists

Clinical sites require certain items to be completed before you can see patients or access systems like EPIC. These may vary slightly by class year, rotation type, or site, but in general you can expect things like:

  • Immunizations and titers (for example, Hep B, TB testing, flu vaccine)

  • Background check and drug screen

  • Required learning modules (EMR/EPIC, safety training, HIPAA, etc.)

  • Current BLS/CPR certification (where applicable)

To make this easier, we’ve created checklists to help you stay on track:

  • M4 / Enrichment Year Checklist

Tip: Use the checklist that matches your current year and keep it nearby when you log in to ACEMAPP. As you complete items, you should see your status update in the system.

Pre-Clerkship Checklist (M1–M2)

Requirements that support pre-clerkship readiness and early EMR access for research, observership opportunities, and telemedicine coursework.

Clerkship & Enrichment Checklist (M3-M4)

Requirements that must be completed to obtain clinical access for Wellstar Health System for core clerkships and advanced clinical experiences.

VSLO Checklist

Requirements for visiting students onboarding into Wellstar MCG Health after acceptance through the VSLO process.

Immunizations & Health Requirements

 Guides for completing required immunizations and health testing.

Background Check & Drug Screen

 Guide for placing an order (and sharing a previously placed order) with AdvantageStudents.

Training & Certifications

 Guides for clinical and research learning modules, BLS, Asepsis Scrub Training, Hand Hygiene & Hand Sanitizer Validation, N95 Mask Fit, Bloodborne Pathogens, OSHA, HIPAA, CITI, and EPIC training.

Deadlines & Timeline

Getting credentialed happens in stages so that your clinical access is ready before you arrive onsite. Staying aware of the timeline helps prevent delays and ensures you can fully participate in clinical activities from Day 1. If anything on your timeline feels unclear or you’re unsure where you fall, please reach out — we’re here to help.

Compliance Checkpoints:

60 Days Before Start Date

You will receive your initial credentialing notification with instructions and reminders about using ACEMAPP, completing requirements, and verifying your status.

Your goal at this stage:

  • Review your checklist
  • Understand what needs to be completed
  • Ask questions early

45 Days Before Start Date

You’ll receive a courtesy reminder if any requirements are still in progress. This is a great time to upload missing documents, update expired items, and finalize training modules.

Your goal at this stage:

  • Make visible progress in ACEMAPP

  • Confirm that all submissions are accurate

  • Reach out for help if you are delayed or unsure

30 Days Before Start Date

Students should be credentialing-ready or very close to completion. This allows time for final review, troubleshooting, and system processing.

Your goal at this stage:

  • All required items should be submitted

  • You should see your readiness reflected in ACEMAPP

  • You should not have unanswered action items

 

Non-Compliant Alert: 14 Days Before Start Date

This is the final clearance window. Any unresolved issues may impact your access on Day 1, which may limit your clinical participation.

Your goal at this stage:

  • Confirm you have been cleared

  • Notify the credentialing coordinator at cahall@augusta.edu immediately if something looks incorrect

  • Do not assume you are cleared unless you have visible confirmation


Important Notes

  • Different clinical sites or experiences may require additional or site-specific steps.
  • Some items (like TB testing, CPR/BLS, and drug screens) expire, so timing matters.
  • Starting early provides the most flexibility if something needs to be repeated or updated.

Coordinators support logistics and communication between students, clinical sites, and program leadership.

ACEMAPP Technical Support

Platform navigation, login or upload errors, and message center/system troubleshooting.

ACEMAPP support focuses on how the platform works, not what requirements are needed.


Wellstar IT Help Desk

Point of Contact: By phone at (470) 956-6000 (have your S number ready!)
Best for:
Technical access issues related to Wellstar systems such as AppConnect, MFA, or EMR launch problems after clearance.
Contact for questions about:

  • Login or password resets for Wellstar systems

  • AppConnect or virtual desktop access

  • Multi-factor authentication issues

  • Account lockouts or credential recognition errors

  • Issues opening EMR tools after receiving S-number credentials

Contact Wellstar IT only after you have been fully cleared and provided login credentials.
